Key and Electronic Fob Issue Process
Concept: The following policy augments Board Policies 4000.3 and 4055, Administrative Regulation 3800, and the college Key and Electronic Fob Policy providing specific guidance to the issuance of keys and electronic fob devices. Controlling access to campus facilites is a major component of providing a safe campus environment and security to college equipment.
Process for Key(s) and Fobs Being Issued:
1. Keys are requested through the administrator, dean or manager that the individual requiring access reports to.
2. The Request for Issuance of Key(s) or a Fob is the approriate form that needs to be completed by the person requesting issuance of a key or electronic fob.
3.Once the approriate supervisor recommends that the key(s) or a fob be issued, the form is taken to the building M-100 for processing.
4. Before a key is made, or a key(s) or fob is issued, the Director of Facilities or the Facilities Manager must approve the request.
5. Once approved, the keys(s) or FOB will be issued and the electronic control roster and if approriate, the electronic access system, will be updated by tthe maintenance staff.
6. Keys must be turned in within the week prior to an employee leaving the campus and a process will be created to get notification from District Human Resources to know when an employee is departing employment with the college.
Key or Fob Replacement Costs:
A replacement key or Fob will cost $100.00. Notify the Director of Fiscal Services if a key or Fob is reported lost and once the debt is cleared the key or Fob may be reissued.
Key and Fob Return:
When personanel change positions or depart employment at the campus, their keys or fobs are to be returned to the Maintenance Office in building M-100.
